Introduction

The purpose of this communication plan is to define the communication methods and channels used for the Tukko 2.0. Clear and consistent communication ensures good information flow as well as helps to achieve project's quality objectives.

Stakeholders

Project Stakeholders can be divided into four groups from the point of view of communication:

  1. Project group team members [Juuso Laurikainen, Juuso Leppänen, Ville Ojanperä,, Leevi Markkanen, Joonas Saukonoja sekä Sonja Wesa]
  2. Project manager(s) and Coaches [Marko Rintamäki]
  3. Stakeholder representatives [Reima Parviainen]
  4. Other external stakeholders (e.g. Head of Department(s), technical experts, etc.)

This plan provides the basis for communication between the project team and three other project stakeholders.

General Communications Channels

Tukko 2.0 is using various forms of written and verbal communication mainly on through three channels: Discord, Teams and Zoom

Written Communication Models

Project-related written communications are made with the Open Project Framework -template or OPF.

Internal Communications

  • Daily scrum meetings, 15min: This will be a 15min meeting held at 9am on Mondays and Fridays to discuss the progress of individual members since the last meeting, as well as plan the tasks for the day and the week.
  • The Discord Channel: Here team members can post updates and communicate work related topics throughout the project as it progressess. Planning is also done here.

Communications with Coaches

The most important communication channel will be the discord channel and weekly coach meetings with Marko Rintamäki on Zoom. All significant events related to the project will be reported to coaches on at least one of the above mentioned channels.

Communications with Stakeholder Representatives

Communication between Stakeholder representatives and project managers is done primarily with status updates, which are regularily updated at the project teams home page. Stakeholder represetatives can also be directly contacted at throughout the project on the discord channel.

Monitoring and Evaluation of Communications

The success of the communications are continuously evaluated during the project, especially during weekly coach meetings and as well as in communication studies. Any inconvenience will be addressed immediately and the communication plan modified if and / or necessary.
